The Privacy Act of 1974, 5 U.S.C. § 552a, as Amended. The applicable regulation is DoD 5400.11-R (External Link), Privacy Program, August 1983.

Responsibility of the Department

• The Procurement Integrated Enterprise Environment web site is provided as a public service to vendors and industry by the U.S. Department of Defense (DoD).

Privacy Act Statement

• For site management, information is collected for statistical purposes. This government computer system uses software programs to create summary statistics, which are used for such purposes as assessing what information is of most and least interest, determining technical design specifications, and identifying system performance or problem areas.
• For site security purposes and to ensure that this service remains available to all users, this government computer system employs software programs to monitor network traffic to identify unauthorized attempts to upload or change information, or otherwise cause damage.
• Except for authorized law enforcement investigations, no other attempts are made to identify individual users or their usage habits. Raw data logs are used for no other purposes and are scheduled for regular destruction in accordance with National Archives and Records Administration guidelines.
• Unauthorized attempts to upload information or change information on this service are strictly prohibited and may be punishable under the Computer Fraud and Abuse Act of 1986 and the National Information Infrastructure Protection Act.
• In compliance with the Privacy Act of 1974, the following information is provided:

  1. System Access Requests

     1. Solicitation of the information to support an individual request for a Procurement Integrated Enterprise Environment user account is authorized by Executive Order 10450, 9397; and Public Law 99-474, the Computer Fraud and Abuse Act.
     2. The primary purpose of the requested information is to record names, access approvals, and other information for the purpose of validating the trustworthiness of individuals requesting access to Department of Defense (DoD) systems and information.
     3. This information will be used to control access to the applications in the Procurement Integrated Enterprise Environment based on the roles and privileges assigned.
     4. Disclosure of this information is voluntary; however, failure to provide the requested information may impede, delay or prevent further processing of this request.
     5. The information will be used by Federal agency officers and employees who have a need for the information in the performance of their official duties.
     6. The information may be disclosed to appropriate Federal, State, local, or foreign agencies, when relevant to civil, criminal, or regulatory investigations or prosecutions, or when pursuant to a requirement by this agency in connection with the hiring or firing of an employee, the issuance of a security clearance, or investigations of the performance of official duty while in Government service.

  2. Individual Payment Requests

     7. Solicitation of the information to support individual request for payments is authorized by 5 U.S.C. Chapter 57 as implemented by the Federal Travel Regulations (FPMR 101-7), E.O. 11609 of July 22 1971, E.O. 11012 of March 27, 1962, E.O. 9397 of November 22, 1943, and 26 U.S.C. 6011(b) and 6109.
     8. The primary purpose of the requested information is to determine payment or reimbursement to eligible individuals for allowable travel and/or other expenses incurred under appropriate administrative authorization and to record and maintain costs of such reimbursements to the Government.
     9. Data Collection and Purpose The information will be used by Federal agency officers and employees who have a need for the information in the performance of their official duties.
     10. The information may be disclosed to appropriate Federal, State, local, or foreign agencies, when relevant to civil, criminal, or regulatory investigations or prosecutions, or when pursuant to a requirement by this agency in connection with the hiring or firing of an employee, the issuance of a security clearance, or investigations of the performance of official duty while in Government service.
     11. Data Collection and the primary purpose your Tax Payer Identification (TIN) to include Social Security Account Numbers (SSN) is solicited under the authority of the Internal Revenue Code (26 U.S.C. 6011(b) and 6109) and E.O. 9397, November 22, 1943, for use as a taxpayer and/or employee identification number; disclosure is MANDATORY on vouchers claiming payment or reimbursement which is, or may be, taxable income. Disclosure of your SSN and other requested information is voluntary in all other instances; however, failure to provide the information (other than SSN) required to support the claim may result in delay or loss of reimbursement.

System of Records

• The WAWF application maintains information pertaining to individuals in "system of records." A "system of records" is defined as "a group of records under the control of a DoD Component from which information is retrieved by the individual's name or by some identifying number, symbol, or other identifying particular assigned to the individuals."
• Before an agency may legally maintain files in a "system of records", a system of records notice (SORN) must be published in the Federal Register. It is the agency's responsibility to publish system notices in the Federal Register of all system of records maintained by the agency.
